Starting TeamOK as an Admin (Company Owner)

Registering independently as a team leader, HR manager, or company owner, you’ll begin in demo mode, which is a read-only environment designed to let you explore TeamOK's features before launching your actual company setup.

Messaging and calling features are disabled in the demo mode.

Start Your Company Setup

Click 'Switch to My Company' at the top-left of the screen.

You’ll be taken through the company setup process, where you confirm your company structure, business schedule, leave policy etc.

Sections that require immediate setup are marked with small orange circles next to their names.​

These sections are:

  • Work Schedules

  • Time Off Policy

  • Corporate Holidays

  • Organization Structure/Departments

  • My Profile

Customize or Use Templates

TeamOK provides preconfigured templates to help you get started quickly. These templates are available for the four key company setup areas: Work Schedules, Time Off Policy, Corporate Holidays, Organization Structure/Departments.

Each template is designed to cover common organizational scenarios.

You can easily customize them to fit your company’s needs or create entirely new setups from scratch.

Set Defaults for New Employees

We strongly recommend setting up default Work Schedules, Time Off Policy and Corporate Holidays for all employees before you invite them to the TeamOK.

  • In the left-hand menu, go to the Setup > Employees > Default Settings for New Employees.

  • Assign the desired work schedule, vacation type and holidays selecting them from the drop-down list. Your choice will be saved in the service.

Setting these defaults helps your team start off with the right schedules and leave policies, without the need for extra setup during onboarding.

You can assign more than one default Vacation and Holiday template if it fits your company’s needs.

Note: If you don’t choose your own defaults, TeamOK will use the system’s built-in templates for new employees automatically.

Invite Your Team

TeamOK provides two convenient ways to invite employees to your company space.

Link Invitation

  1. Click Invite Teammates in the bottom left.

  2. Copy the unique invitation link.

  3. Share the link with your team members using any communication channel.

Email Invitation

  1. Click Invite Teammates > Send invite by email.

  2. Paste a list of email addresses (up to 300).

  3. TeamOK will send out your invitations.

Invite Teammates gives access to the Link settings, where you can configure the expiration duration of the TeamOk invite link.

Expiration Options:

  • 1 day

  • 2 days

  • 7 days

  • 30 days

  • Never expired

The invite link automatically deactivates after the selected duration unless set to Never expired.

To avoid confusion with the read-only environment, remove the demo mode button for yourself and your team before sending the invitations.

  1. Go to Setup > Administration > Demo Company in the left-hand menu.

  2. Turn off the toggle next to the Show 'Switch to Demo' button to hide it.
