Accessing My Profile

Click My Profile from the avatar dropdown in the top right to view and update your personal details. You’ll access profile tabs including Info, Teams, Note, Working Time, and for admins only, Manage Profile. Use the pencil icon beside each field to make updates where editing is permitted.

Info Tab

This is the main profile section. It consists of several default subtabs:

  • Basic: First and last name, job title, photo, department, manager, birthday, etc.

  • Contacts: Personal and work contact details (e.g. phone number, email).

  • Documents: Upload or manage files related to employment.

  • About Me: Skills, interests.

  • Links: External links such as LinkedIn, Facebook

  • More: Any other custom fields added by the organization.

Admins can edit all fields, configure visibility/editing rights or add new sections in Setup > Employees > Employee Profile Fields.

Teammates can update only the fields permitted by the admin, typically name, photo, contact info, and About Me. Fields like manager, department, or job title may be locked if controlled centrally by the organization.

Admins can use the Employee Profile Fields setup screen to:

  • Define who can edit each field (e.g. Profile Owner, HR, Manager).

  • Specify who can view each field.

  • Mark fields as required.

  • Exclude fields from search visibility.

  • Add new fields or sections as needed using the +Add button.

  • Preview how the profile looks to teammates via Profile Editing Preview.

Teams Tab

This tab displays the list of teams the person is a member of. It includes both official teams (assigned by admins) and general teams (joined or created by the employees).

Editing permissions:

  • Members cannot remove themselves from official teams.

  • Admins manage team assignments via the Company > Teams tab.

Note Tab

This is a private section that allows each employee to leave personal notes visible only to themselves. It can be used for storing reminders, goals, or private comments.

Editing permissions:

  • Fully private and accessible only by the profile owner.

Working Time Tab

This tab displays the employee’s assigned working parameters and time-related policies. It may list the following information:

  • Excluded from time tracking: Indicates whether the employee is subject to time tracking.

  • Work schedules: Displays the assigned schedule (e.g. Full-time, Part-time).

  • Time Off Policies: Lists all vacation and leave types available to the employee.

  • Holidays: Shows the applicable corporate or national holiday templates assigned to the profile.

Editing permissions:

Manage Profile Tab

Visible only to those with administrative access. This tab provides controls for:

  • Assigning or changing roles (e.g. Admin, Manager, Employee)

  • Archiving the profile when necessary

The My Profile section in TeamOK serves as the central hub for managing personal data.

It supports both individual customization and administrative control, ensuring clarity, accuracy, and security of employee information.
