Configuring Organizational Hierarchy

Set up your company’s structure and define its internal subdivisions

The Organization Structure / Departments tab under Setup > Company Setup allows you to create a clear and hierarchical representation of your company’s internal structure. This setup reflects how your teams are organized and directly supports navigation, onboarding, and platform features.

The key benefits of a well-defined organizational structure in TeamOK can be defined as follows:

  • Better navigation – structured departments help employees find colleagues and understand reporting lines.

  • Clearer onboarding – new team members immediately see how the organization is laid out.

  • Foundation for automation – some TeamOK features, such as group chats or access control, may depend on accurate department mapping.

How to build your organization structure

To start building your organization structure, go to Setup > Company Setup > Organization Structure / Departments and choose one of the setup options:

  • Basic structure – create a classic department and sub-department hierarchy.

  • Location-based structure – add a location level above departments.

  • Custom structure – start manually from scratch, without a predefined template.

Tip: Start with your top-level departments or units first to keep things clear and scalable.

When building a custom company structure, follow these steps:

1. Click the Start from scratch button - the Add section popup will open.

2. Fill in the two fields:

  • Type of section. This can be a Department, a Sub-department, or a Location - whatever structural (sub)divisions you have in your organization.

  • Name of section. It is best to choose official department names, like Accounting, Human Resources, Development, etc.

After the first section is created, or if you chose to go with one of the templates, do the following to manage the structure further:

  • Use the Add section button to continue building your structure and create new sections - either parental or nested.

  • To nest a section under another one, use the parent section drop-down (third field in the adding section popup).

  • To edit, move, or delete an existing section, open the context menu (three dots icon) next to the section name.

  • To copy a section together with all its nested levels use the Actions menu under the round blue plus button (on the right). For example, this can be useful when setting up similar units across different locations.
