Managing Work Schedules

Create, customize, and assign structured schedules for efficient team coordination

Work schedules in TeamOK help both admins and employees plan and track the workday accurately and ensure proper time tracking and attendance reporting.

You can configure work schedules under Setup > Schedule & Attendance > Work Schedules.

Types of Work Schedules

There are two types of schedules in TeamOK:

  • Fixed – Work hours are defined with specific start and end times. The time zone is determined by the company country settings in Company Setup > General.

  • Flexible – Employees work a defined number of hours per day, but they can choose when those hours are worked.

TeamOK offers four predefined schedule templates you can use as-is or customize:

  • Full Time (Fixed)

  • Part Time – 4 Hours (Fixed)

  • Part Time – 6 Hours (Fixed)

  • Flexible – 8 Hours

Each schedule allows you to set a lunch break period.

Creating and Editing Work Schedules

To create a new schedule, click the +Add Work Schedule button.

To edit an existing schedule, use the Edit option in the three-dot action menu of the respective schedule.

In the editing screen, you’ll find two tabs:

1. Info Tab to set the following:

  • Schedule name and description

  • Schedule type: Fixed or Flexible

  • Work hours: Start and end times for Fixed schedules, or total daily hours for Flexible

  • Break times

Tip: You can use the copy icon to quickly apply Monday’s hours to the rest of the week.

2. Employees Tab to select which employees should follow this schedule.

Note: Each employee can be assigned only one work schedule.

Managing Schedule Assignments

You can quickly assign or update an employee’s schedule directly from the Employees column on the Work Schedules screen by clicking Assign/Edit. This opens the employee selection tab for the relevant schedule.

Deleting a Schedule

To delete a schedule, use the Delete option from its action menu.

Important: If your organization uses time tracking, make sure to assign a new schedule to employees who were using the deleted one. Otherwise, their work hours will not be tracked.
